Why "everyone already knows how to run it" is a fragile assumption
Many smaller and mid-sized water and wastewater treatment plants operate for years relying on informal, undocumented operator knowledge — routines and judgement calls passed down through direct instruction and accumulated experience rather than written procedure. This works reasonably well as long as experienced staff remain in place, but it is a fragile arrangement that breaks down exactly when it matters most: staff turnover, an unfamiliar temporary operator covering for someone absent, or an unusual situation that the informally trained staff member has not personally encountered before.
SOPs should be written in language actually accessible to the people who will use them
Effective SOPs are written in clear, plain language appropriate to the actual reading level and, where relevant, the specific language most comfortable for the staff who will use them day to day, rather than dense technical or bureaucratic language that is accurate but genuinely difficult for the intended user to follow under real operating conditions — a technically precise SOP that operators find difficult to actually read and apply provides considerably less real protection than a somewhat simpler one that is genuinely usable.
What a genuinely useful SOP set typically covers
A useful set of standard operating procedures for a treatment plant typically covers routine startup and shutdown sequencing (as covered in our RO startup/shutdown article), routine monitoring tasks and their frequency, response procedures for common alarm conditions or abnormal readings, chemical handling and dosing procedures (connecting to our chemical-dosing-safety article), and routine maintenance tasks with their required frequency — essentially documenting what an experienced, competent operator does routinely and instinctively, made explicit enough that someone without that same accumulated experience can follow it correctly.
SOPs should describe what to do, and ideally why, not just list steps mechanically
As touched on in our operator-training article, procedures that explain the reasoning behind a step (why a particular sequence matters, what a specific reading indicates) are generally more useful than a purely mechanical list of steps without context, since an operator who understands the underlying reason is better equipped to recognise when a situation deviates from what the SOP anticipated and requires judgement beyond the literal written procedure, rather than either blindly following an inapplicable step or having no guidance at all for handling the deviation.
Writing SOPs is also a valuable exercise for surfacing undocumented assumptions
The process of actually writing SOPs — sitting down with experienced staff and asking them to articulate exactly what they do and why — frequently surfaces assumptions or informal workarounds that had never been explicitly discussed or questioned, some of which may reveal genuine process improvements once made explicit and examined, and others which may reveal informal practices that should actually be corrected rather than simply documented and perpetuated. This makes SOP development valuable as a process-review exercise in its own right, beyond simply producing a reference document.
Involving frontline operators in SOP development improves both accuracy and buy-in
SOPs developed by management or engineering staff without direct input from the operators who actually run the plant day to day risk missing practical details that only frontline experience reveals, and can also face lower genuine adoption if operators feel the procedures were imposed without reflecting their actual working knowledge — involving experienced frontline staff directly in SOP development tends to produce both more accurate documentation and considerably better genuine buy-in and adherence once the SOPs are put into practice.
SOPs need to be living documents, reviewed and updated, not written once and forgotten
Treatment plant processes, equipment, and regulatory requirements change over time, and SOPs written once and never revisited gradually become inaccurate or incomplete as these changes accumulate — a reasonable practice includes a periodic review schedule (annually, or whenever a significant equipment or process change occurs) explicitly checking whether existing SOPs still accurately reflect actual current practice and requirements, rather than allowing them to become an outdated document that staff learn to disregard because it no longer matches reality.
A practical starting point for a facility without existing documented SOPs
A facility without existing SOPs can reasonably start by documenting the highest-risk or highest-consequence procedures first — chemical handling, emergency response, and startup/shutdown sequencing, for example — rather than attempting to document every conceivable procedure simultaneously, and progressively expanding documentation coverage over time. Even an imperfect, incomplete initial set of SOPs, genuinely used and periodically improved, provides more practical protection against inconsistent operation and lost institutional knowledge than continuing to rely entirely on undocumented, informally transmitted operator experience.
Version control prevents confusion between outdated and current procedures
As SOPs are updated over time, maintaining clear version control — dating each revision and ensuring only the current version is accessible to staff, with outdated versions clearly archived rather than left in circulation — prevents the genuine confusion that can arise if staff inadvertently follow an outdated procedure that has since been superseded by an updated version reflecting a process or equipment change.
Digital SOP access via mobile devices is increasingly practical for field-based maintenance work
For facilities with spread-out infrastructure or field-based maintenance activities, making SOPs accessible via a mobile device (a simple shared document repository, or a dedicated maintenance-management application for larger organisations) rather than relying solely on printed documents kept in a single central location can improve actual on-the-spot compliance, since staff working away from the main office are considerably more likely to consult and follow a procedure that is genuinely convenient to access at their actual work location.
New employee onboarding is a natural moment to test whether SOPs are genuinely usable
Observing how effectively a new employee can follow existing SOPs during their onboarding period provides a genuinely useful, low-cost test of whether the documentation is actually clear and complete, since a new employee lacks the informal background knowledge an experienced operator would have to fill gaps in an incomplete or unclear procedure — difficulties a new employee encounters following an SOP are a useful, concrete signal that the documentation itself needs improvement, rather than treating any confusion as simply the new employee's own learning curve.
