A dispenser can undo the purification that happened before it

Office and household water coolers/dispensers — whether fed from bottled/jar water or plumbed into a central purification system — sit at the very end of the water's journey to the glass, which means any contamination introduced at the dispenser itself is the last thing that happens to the water before it is consumed, with no further treatment step to catch it. Internal components (the reservoir, taps/spigots, and internal tubing) that are not cleaned periodically can develop biofilm — a slimy microbial layer that forms on wetted surfaces, particularly in warm environments — which can recontaminate water that was perfectly safe when it entered the unit.

Where biofilm actually forms and why it matters

Biofilm forms most readily on surfaces that are frequently wet but not fully drained or scrubbed as part of routine cleaning — the underside of the reservoir lid, the inside of the tap/spigot mechanism, and internal tubing bends where flow is lower. Once established, biofilm is difficult to remove with a simple rinse and generally requires an actual cleaning cycle with a sanitising solution reaching all internal wetted surfaces, not just the visible reservoir interior. Left unaddressed over months, biofilm can also act as a reservoir for bacteria to periodically slough off into dispensed water, producing intermittent water-quality problems that are hard to trace back to the dispenser itself if the dispenser is not considered as a possible source.

The tap/spigot area is the most exposed point

The dispensing tap or spigot is handled directly and is exposed to airborne contamination and hand contact far more than any internal component, making it one of the more likely points for contamination to be introduced into the water pathway. Wiping down and periodically disinfecting the external tap area — not just the internal reservoir — is a simple, low-cost hygiene step that is often overlooked in routine cleaning schedules that focus mainly on visible cleanliness of the unit's exterior.

Bottled/jar-fed dispensers have their own specific risks

For dispensers fed by refillable water jars/bottles, the point where the jar seats onto the dispenser (and the cap/seal removed just before that) is a specific contamination risk if hands or the jar's exterior are not clean at the moment of connection, and if the jar itself has been stored in conditions that allowed contamination (direct sunlight promoting algae growth in translucent bottles, or a compromised seal). Buying from a supplier who can demonstrate an actual quality process for their jar-water production and handling — rather than the cheapest available option — is a reasonable precaution for this specific use case.

A reasonable cleaning schedule

General guidance for dispenser hygiene typically recommends cleaning the reservoir and internal tubing (using a food-safe sanitising solution, followed by thorough rinsing) on a schedule of roughly every 1-3 months for shared/office units with heavier use, and somewhat less frequently for lower-use household units, alongside more frequent (weekly or more often) external wiping of the tap area and surrounding surfaces. These intervals should be adjusted upward in warmer, more humid conditions — which describes most of the year in Bangladesh — since biofilm growth is generally faster in warm conditions than cooler ones.

Signs a dispenser needs attention sooner than scheduled

A slimy feel or visible film on internal surfaces when the reservoir is opened, a musty or off odour from the unit, or a change in the taste of dispensed water compared to what goes into it are all reasonable triggers to clean the unit immediately rather than waiting for the next scheduled cleaning date. For office or institutional settings serving larger numbers of people, assigning clear responsibility for this maintenance (rather than assuming it happens by default) is a simple, low-cost way to avoid it being neglected indefinitely.
